Gold Arrow Camp Conditions of Enrollment - Online Programs

Please read and review all Conditions of Enrollment before submitting your camper’s application to the Gold Arrow Leadership Academy (GALA).

Gold Arrow Camp (GAC) has been successfully providing safe and memorable summer camp experiences for more than eight decades. We are honored to serve many second and third generation campers and families. For many of our campers and staff, GAC is not just a family tradition but an additional place that feels like home. 

The safety and well-being of your children, both physically and emotionally, is our top priority. As a camp parent, it is your responsibility to read through these policies, review applicable ones with your child(ren), and ensure that your family is able to meet our standards and agree to our policies. GAC has these policies in place to protect our campers and staff and to enable us to continue providing a high quality experience to all of our campers. 

I, the undersigned parent or guardian, hereby apply to enroll the camper whose name appears on this application, in the Gold Arrow Leadership Academy. In doing so, I acknowledge that my child is able to meet Gold Arrow Camp's Camper Standards of Conduct and will treat other campers and staff with respect at all times. Further, I acknowledge that I have read and agree to each of the following conditions:

Dismissal from Camp

I understand that the camp reserves the right to dismiss a camper whose conduct is dangerous, illegal, or at the discretion of the camp directors, detrimental to the camp and/or to other campers’ experiences, otherwise unsatisfactory, or does not meet the Camper Standards of Conduct.

Please review the following Camper Standards of Conduct with your child and let your camper know to tell a staff member if their fun or enjoyment of the program is being jeopardized by any camper or staff member's behavior towards them.

Camper Standards of Conduct

To maintain a wholesome, fun, youth and teen-focused environment free of social pressures and negative influences, Gold Arrow Camp has developed the following behavior guidelines, which will be strictly enforced. Please review the guidelines with your child before submitting your camper’s registration. If you are concerned that your child may not be able to meet our Camper Standards, please consult with a Camp Director immediately.

Gold Arrow campers are expected to treat other campers and staff with respect at all times, and value each camper's right to have a fun experience.

The following behaviors are not permitted during online workshops and will result in disciplinary action (up to being immediately dismissed from the program without any tuition refund):

1. Teasing, taunting, threatening, or aggressive behavior toward other campers or staff.

2. Use of foul, abusive, or discriminatory language, photos, or discussions.

3. Disrespectful of others’ opinions and ideas.

4. Unauthorized use of information and/or images shared throughout the course.

5. Clothing with any words, logos, or graphics depicting violence, bands who play violent music, drugs, alcohol, or inappropriate language or topics.

6. Clothing or appearance that is distracting or inappropriate per camp’s discretion.

7. Use of alcoholic beverages, illegal drugs, smoking or tobacco products are not allowed during the hours of virtual camp. Gold Arrow Camp has the right to remove a camper from the meeting without warning if the facilitator suspects these products have been used.

8. Creating screen shots, recordings, and private, separate chats are not allowed during virtual camp sessions.

9. Use of inappropriate backgrounds or backgrounds with personal information.  Backgrounds should be simple, like a blank wall or an appropriate virtual background image.

10. Sharing personal information such as email, phone number, address, school, photos of themselves, or social media handles. If a counselor needs any personal information for any reason, GAC staff will contact the Parent/Guardian directly.

11. Sharing login to the online communication system and/or meeting passwords with anyone is not permitted.

Providing Camp with Information

In fairness to our staff and your child(ren), we need to make informed decisions about all of the people we invite into our camp community. Our purpose in asking this pertinent information, both emotional and situational, is to be able to better serve each child. We expect that parents or guardians have provided us with all the necessary information we need to keep all children safe. For children to be emotionally safe in our online program, they need to be able to follow instructions and guidelines when given by an adult in a group setting.  

Specifically, we need to be informed about any of the following:

1. Psychiatric problems, including suicide gestures, suicidal ideation, or any self-harm.

2. Any traumatic event/possible reaction to family issues such as parental separation or divorce, illness, or death.

When you provide this information to us, it is ONLY shared with the staff members who need to know. Our staff take confidentiality seriously and are trained not to discuss camper's private issues with anyone outside of the staff interacting with your child.

There may be a circumstance where we have agreed to accept a child with full knowledge of his or her issues and have attempted to take all the necessary steps of making the experience successful, but find that we are unable to do so. For the good of this child and the camp community, the child may have to leave the program.

Failure to respond thoroughly and accurately to any question on the registration, or to provide pertinent information about your child that impacts his/her behavior, may result in your child's immediate dismissal from the program, at the sole discretion of the Camp Directors, without a refund of tuition paid.

Parent Behavior

Gold Arrow Camp understands the importance of partnering with our campers’ parents to provide a safe and impactful growth experience for their children while they are participating in a Gold Arrow Camp program.

Parents are expected to support all policies, rules, and regulations. Further, parents are expected to cooperate with and act civilly towards all members of the GAC community, including our staff.

Unacceptable parent behavior, including actively undermining any camp policy, and/or disrespectful behavior towards any member of the community (determined at the discretion of the camp directors), may result in non-renewal or termination of the Camper's enrollment.

Financial Policies

Tuition Payment

At the time of enrollment, a $350 deposit is due for each child enrolled.  Final payment of any tuition balance, if any, or optional mentoring/coaching session fees will be due June 15, 2020. All payments must be made by credit card directly into the program platform, Thinkific. 

Cancellation Policy

The deposit is refundable less a fee of $100 for each camper’s enrollment canceled in writing on or before June 15.

No refunds will be given for cancellations after June 15.

A single exception is made for campers who suffer a physical illness or injury on or after June 15 and their attending physician certifies in writing that the illness or injury will not allow the camper to safely participate in any offered online program. In this event, we will refund the camper’s tuition less a cancellation fee of $50.

Payments for additional options such as the one-on-one mentoring/coaching sessions will be fully refunded at the time of cancellation if Gold Arrow Camp is contacted at least 24-hour in advance of the scheduled session.

If the camper does not participate in an option or session they are registered for, there will be no prorated refund.

Discounts

Families enrolled in a 2021 camp session are eligible to receive a 50% discount on the Gold Arrow Leadership Academy tuition fee.  Discounts do not apply to any mentoring/coaching sessions added.

Missing Scheduled Workshops

Missing online workshops is disruptive to the camper's overall experience and may negatively impact their leadership group. Our community-focused program is intentionally set up to allow for friendships and group bonding to start during the first workshop, workshops that build upon the content of previous meetings, and for important closure activities to occur at the end of the program.

When enrolling your child in GALA, please make sure your child is able to participate for the entire program (start date through end date). Because it is disruptive to the program and the other participants in the group, missing scheduled workshops and meetings is highly discouraged. 

Waivers of Liability

a. I agree that online counselors are unable to supervise the camper during the scheduled meetings.  All supervision of the camper and assuring that the camper’s home is suitable for the activities being presented is the sole responsibility of his/her parents. 

b. I understand that Gold Arrow Camp cannot guarantee the security or efficacy of any platforms used for the program and that his/her parents are responsible for cybersecurity.

c. I understand that campers will only be contacted by staff through Gold Arrow authorized channels (course platform). No interaction or contact between staff and campers outside of the presentations, including any in person, electronic, social media or other contact is allowed.  If a camper or parent learns of any attempts by either the staff member or the camper to do so, they must notify camp immediately.
d. I give permission for my child to virtually attend Gold Arrow Camp and participate in the scheduled program. I recognize the possible risk involved for my child in participating in online activities, including risks associated with online piracy, security, and invasion of privacy. I release, discharge, and otherwise agree to indemnify Gold Arrow Camp, its affiliated organizations and sponsors, its officers, directors, employees, volunteers, and agents against any claim by or on behalf of myself or my minor child as a result of my child's participation in any program or activity sponsored, coordinated, or supervised by Gold Arrow Camp.

e. I understand and acknowledge that certain activities, whether or not listed in the promotional materials have an increased risk of injury associated with them. I hereby release and agree to indemnify and hold harmless, Gold Arrow Camp and all its officers, directors, employees, agents and representatives whatsoever from any and all losses, claims, damages, liabilities, costs and expenses including attorney's fees, which they or any of them, or camper may sustain or incur in any way arising out of or in connection with camper's participation in any and all program activities.

General Matters

a. I agree that the camper and his/her parents and relatives will abide by the rules and regulations set by the camp for the safety and welfare of the camper.

b. I agree that the camp reserves the right to cancel, change or substitute programs or activities as listed in its brochure and website and substitute programs or activities as listed in its brochure and website, when necessary during the online program.

c. I consent to the use of any pictures and video of the camper in connection with the camp's future advertising or promotion.

d. I consent to my child’s participation in the scheduled live workshops and meetings and understand that Gold Arrow will maintain recordings of all live sessions. 

e. I agree that only the camper(s) registered for the program may participate in these activities and these activities cannot be shared with others nor may campers have friends over who will be joining in the workshops. 

f. I agree that the camper and his/her parents are prohibited from making their own recordings of any live sessions.

It is essential that you communicate to your children that any hurtful or inappropriate communication between campers or behavior by campers outside of camp (including bullying, sexting, or any unsafe behaviors that are harmful to themselves or others), may result in them not being allowed to return to any GAC online or in-person program.

We inform our staff that ANY contact between staff and campers that occurs outside of camp needs to take place in a forum in which parents are aware of the contact. Our policy states that staff write to campers by means of physical letters only, which can be seen by parents in the incoming mail. During the seasons when camp is not in session, we discourage staff from "friending" and following campers on social media and prohibit them from texting and private-messaging campers and having any one-on-one relationship that is or could be perceived to be inappropriate. Parents are responsible to supervise all social media interactions of minor children, including any interactions between campers and between campers and staff members. Please inform us of any inappropriate interactions outside of camp so that we are aware of campers and/or staff members who are not following our policy.

Signing and submitting this Camper Registration indicates to us that you are aware that your child must adhere to the Camper Standards of Conduct and you must adhere to parent standards in order for your child to remain in the program, and that you will support Camp in disciplinary procedures should your child fail to meet Camper Standards.
